Вовча Тропа 2021 Camper Drop-Off Procedures and Rules – Saturday July 10, 2021
1. Time slots will be assigned to each family and emailed ahead of time. Please arrive during your assigned timeframe. Consider bringing as few people as necessary to drop off in order to help stream line the process.
2. Checkpoint #1: at the bottom of Sayre Hill Road.
If you arrive within your assigned window, you will be allowed to proceed to the main parking lot. If you arrive early (before your assigned time), you will be asked to leave and return when it is your designated time.
a. UNVACCINATED INDIVIDUALS: A Negative COVID test within 72 hours, must be provided (printed copy in hand) for unvaccinated campers and anyone else in the vehicle dropping off campers that is/are not vaccinated.
b. VACCINATED INDIVIDUALS: For fully immunized campers and anyone else in the vehicle dropping off campers that are fully immunized, everyone must provide proof of vaccination (printed copy in hand).
3. Checkpoint #2: main parking lot
a. Please park your car in the designated area where directed.
b. Registration areas will be set up by camp/tабори (табір новачок, табір новаків, табір юначок, табір юнаків, Ю2). Please proceed to your registration area to check-in.
c. At registration, you will be given instructions of where to bring your camper’s items.
· For your camper’s items:
1. Label everything ahead of time
2. Consolidate as much as possible – no loose items. If you have loose items (such as bedding for novatsvo/новацтво or items on hangers), place them in garbage bags and label the garbage bag (name/camp).
3. Items will be reviewed with you before they are delivered to camp.
4. For novastvo/новацтво only: fully vaccinated volunteers who do not have children at camp will be at the barracks to unpack and “set-up” your child’s items. These volunteers are experienced and know how to help and set-up. We do suggest you review the items packed with your child before drop-off so they can recognize their items and know where everything has to go.
d. Medical Station: there will be a separate area for medical (шпиталик) registration if needed. If you have medications or other items to leave (i.e., EpiPen, prescription medications), please proceed to this area. Medications must be in a gallon zip lock bag, in their original packaging, with your child’s name and camp clearly indicated on it. We are unable to accept expired medications or medications outside of their original packaging. A “Daily Medication Form” must be fully completed in advance, and also be placed in the zip lock bag. As a reminder, in order to protect our medical staff, consider NOT sending your child with non-essential daily medications, like vitamins.
4. Once you have registered your child and delivered their items, your child will be brought to tabir by a bulava member (they will be escorted in groups).
a. This is the time to say goodbye, take photos, and make sure all is set!
b. Have a safe trip home!
5. Lunch will be provided for all campers.
6. Once your child is brought up to tabir, there will be ongoing activities to immediately engage them.
7. Parents/Designated Guardians/Grandparents/Anyone Dropping Off – WILL NOT be allowed to drive past the main parking lot and enter any of the camps and WILL NOT be allowed in any of the buildings (шпиталик, крамниця, etc.).
